Who we are

Oatmilk Publishing is a private limited company registered in England and Wales under company number [company number], with our registered office at [registered office address]. We are the "data controller" for the personal information described in this notice, which means we decide how and why your data is used.

What personal data we collect, how we use it, and why

When you contact us or submit an enquiry: for example, through a contact form, by email, or at an event, we collect your name, work email address, company name, job title, and phone number if you provide it. We use this to respond to your enquiry, discuss a potential partnership or submission, and keep a record of our business relationship with you. We do this on the basis of our legitimate interests in developing and maintaining relationships with authors, partners, and industry contacts. You can object to this at any time, see "Your rights" below.

Protection of your personal data

We store your personal data on password-protected systems. We use a small number of trusted third-party services to help us run our business. For example, our customer relationship management (CRM) system only process your data on our instructions. We never sell your personal data, and we won't share it with anyone else unless we're required to by law or it's necessary to fulfil an order. At present, we don't process any payments directly through our website. If we introduce online sales in future, payments will be handled securely by a third-party payment provider (such as Stripe or PayPal), and we will not store your card details ourselves.

How long we keep your data

We keep your information for as long as necessary to fulfil the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

Sensitive personal data

Data protection law recognises that certain categories of personal information are more sensitive, such as health information, race, religious beliefs, and political opinions. We do not collect this type of information. We only collect what's necessary to respond to your enquiry or process your order.

Your rights

Under UK data protection law, you have the right to: access the personal data we hold about you; ask us to correct it if it's inaccurate; ask us to delete it; ask us to restrict how we use it; object to us using it (including for marketing); and ask us to move it to another organisation. To exercise any of these rights, contact us via our enquiry form. If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this notice

We may update this notice from time to time. The latest version will always be available on our website, and we'll date it so you can see when it was last changed.
